Crownly, Inc. (“Crownly,” “we,” “us”) operates a platform that connects pageant directors, contestants, parents and guardians, and pageant professionals. This Privacy Policy describes how we collect, use, share, and retain personal information when you use joincrownly.com and related services.
Crownly involves children, birthdates, photos, payments, directories, user-generated content, private messages, and event registrations. Because of that scope, this policy is intentionally detailed. It is not legal advice. Before a public launch at scale, Crownly recommends qualified legal review tailored to your jurisdiction and business model.
1. Information we collect
The information we collect depends on how you use Crownly — as a guardian, director, professional, or visitor.
- Account information: name, email address, password (stored hashed), city, state, profile photo, bio, and notification preferences.
- Household and contestant profiles: names, birthdates, division eligibility, and other details guardians enter to register for events.
- Content you provide: photos, documents, scoresheets, posts, comments, messages, waiver signatures, and listing materials.
- Registration and booking data: selected divisions, add-ons, promo codes, attendance, payment status, and receipts.
- Marketplace data: physical-goods listings, item photos and descriptions, seller payout readiness, orders, buyer shipping names and addresses, carrier and tracking numbers, delivery scans, buyer-protection reports, refunds, disputes, and transfer records.
- Payment information: Crownly uses Stripe to process payments. We receive transaction metadata (amounts, status, connected account IDs) but do not store full card numbers.
- Identity and verification data: information submitted for director or professional verification, Stripe Connect onboarding, and fraud prevention.
- Technical and usage data: device type, browser, IP address, log data, cookies, and how you interact with the platform.
- Communications: support requests, reports, and correspondence with Crownly staff.
2. Children, guardians, and parental consent
Crownly accounts are for adults 18 and older. Minors participate only through contestant profiles created and controlled by a parent or legal guardian.
By creating or managing a minor’s contestant profile, you represent that you are the minor’s parent or legal guardian (or have documented authority to act on their behalf) and that you consent to Crownly’s collection and use of that minor’s information as described here.
Minor profiles are private by default. They are not shown on public member directories unless a guardian changes visibility settings. Registration for a specific pageant shares the contestant information that event requires with that pageant’s director.
Direct messages cannot be sent to minor profiles. Communication about a minor flows through the guardian’s account. Other users must not attempt to contact minors outside Crownly or bypass guardian controls.
Guardians may export household data or request account deletion from Settings. See “Account deletion and data retention” below.
3. Photos, media, and permissions
You may upload photos and other media to profiles, posts, pageant listings, portfolios, and registration records. You are responsible for having the rights and permissions needed to upload that content — especially when it depicts minors.
Do not upload images of children who are not in your household unless you have clear consent from their guardian. Directors may collect separate photo or publicity consents through event waivers; those consents are between the family and the event organizer.
When you make content public on Crownly, you grant other users the limited ability to view it within the platform according to your visibility settings. See our Terms of Service for licensing details.
Crownly may remove media that violates our Community Standards, Terms, or applicable law, including content that exposes minors to unnecessary risk.
4. How we use information
- Provide the platform: account creation, discovery, registrations, schedules, bookings, messaging, notifications, and payouts.
- Process payments and prevent fraud through Stripe and related security tools.
- Operate directories and listings that you choose to publish.
- Send transactional messages such as receipts, registration confirmations, schedule reminders, and security alerts.
- Review reports, enforce Community Standards, and respond to trust and safety incidents.
- Evaluate verification requests and maintain badges for directors and professionals.
- Improve Crownly, debug issues, and understand aggregate usage patterns.
- Comply with law, respond to lawful requests, and protect Crownly, our users, and the public.
5. How we share information
We do not sell your personal information. We share information only as described below.
- With other Crownly users according to your settings and the feature you use — for example, public profiles, pageant listings, registration rosters, and booking details.
- With directors when you register for their pageant: contestant name, division, guardian contact, add-ons, waiver signatures, and payment status needed to run the event.
- With professionals when you book their services: contact and booking details needed to deliver the service.
- With service providers under contract who help us operate Crownly (hosting, email delivery, analytics, customer support, payment processing).
- With Stripe and financial partners to process payments, onboarding, refunds, and disputes.
- With EasyPost and parcel carriers to create trackers, retrieve delivery scans, and operate the Marketplace protection window. Tracking providers receive the carrier and tracking number; parcel carriers already hold shipment information supplied by the seller.
- With Marketplace sellers, the buyer shipping name and address and order details necessary to fulfill a purchase. Sellers may use this information only to fulfill, support, document, or lawfully report that order.
- When required by law, legal process, or to protect rights, safety, and security.
- In connection with a merger, acquisition, or asset sale, subject to continued protections consistent with this policy.
6. Data retention
We retain personal information for as long as needed to provide Crownly, comply with legal obligations, resolve disputes, and enforce our agreements.
Examples: active account data is kept while your account exists; payment and registration records may be retained for accounting, tax, and dispute purposes even after an event ends; moderation and safety records may be kept to prevent repeat abuse.
Backups and logs may persist for a limited period after deletion from primary systems.
Aggregated or de-identified data that cannot reasonably identify you may be kept longer for analytics and product improvement.
7. Account deletion, export, and your choices
- Export: request a portable JSON copy of your profile, registrations, and bookings from Settings → Account.
- Deletion: request account deletion from Settings → Account. Deletion enters a 14-day grace period during which you may still sign in and cancel the request. After that period, we anonymize core account fields and restrict the account.
- Some information may remain after deletion where retention is required by law, needed to complete transactions, or stored in records shared with directors or professionals for events you joined.
- Profile visibility, notification preferences, and registration visibility can be managed in Settings.
- You may opt out of non-essential emails using notification preferences. Transactional messages may still be sent when necessary.
8. Security and incident reporting
We use administrative, technical, and organizational measures designed to protect personal information, including encryption in transit, access controls, and monitoring. No system is perfectly secure.
If you believe your Crownly account has been compromised, contact us promptly at security.com.
If you become aware of a vulnerability or data incident involving Crownly, report it to security.com. We investigate good-faith reports and will not retaliate against researchers who follow responsible disclosure practices.
Depending on applicable law and the nature of an incident, we may notify affected users and regulators as required.
9. Identity verification
Crownly may review director and professional accounts before awarding verified badges. Verification reflects platform conduct and listing accuracy — it is not a background check, employment screening, or guarantee of safety or quality.
Stripe collects identity and banking information during Connect onboarding according to Stripe’s privacy policy. Crownly receives confirmation of onboarding status, not full government ID images, in the ordinary course of Connect.
We do not currently operate a universal background-check program for all users. If that changes, we will update this policy and our Community Standards before launch.
10. U.S. state privacy rights
Residents of certain U.S. states may have additional rights regarding personal information, which may include the right to know, access, correct, delete, or obtain a copy of personal information, and to opt out of certain processing such as “sale” or “sharing” for cross-context behavioral advertising.
Crownly does not sell personal information. We do not use personal information for cross-context behavioral advertising as defined by applicable state laws.
To exercise a privacy right, email privacy.com with enough information to verify your account. We will respond as required by applicable law. You may appeal a denial where your state provides that right.
Authorized agents may submit requests on your behalf where permitted by law.
11. International users
Crownly is operated from the United States. If you access Crownly from outside the U.S., you understand that your information may be processed in the U.S. and other countries where we or our service providers operate, which may have different data protection laws than your home country.
12. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised policy with a new “Last updated” date. Material changes may also be communicated by email or in-app notice where appropriate.
